  • Identification and contact data: full name, email address and WhatsApp number with international dialling code;
  • Trip request data: service requested, departure point, destination, planned dates and any additional information you choose to share (for example, number of travellers, adults and children, approximate budget and preferences);

  • Technical and source data: date and time of submission, page address, campaign parameters (UTM), IP address and data collected through cookies, as described in section 9.

Please do not include sensitive data (for example, health data) or identity document details in the additional information field, as they are not needed to prepare a quote.

If you include data about other people travelling with you, such as companions or children, you confirm that you are authorised to share it and that those people are aware of this policy. Data relating to minors must be provided by their parents or legal guardians.

3. Purposes and legal bases

  • Replying to your quote request, contacting you and presenting the available options: steps taken at your request prior to entering into a contract (Article 6(1)(b) GDPR) and the consent you give in the form (Article 6(1)(a)).
  • Forwarding your request to the partners responsible for bookings: steps taken at your request prior to entering into a contract (Article 6(1)(b)).
  • Sending marketing communications about Docs Prime Travel and Docs Prime.PT services: your separate, optional consent (Article 6(1)(a)). You can withdraw it at any time.
  • Measuring the performance of the page and campaigns (source of requests, visit analytics and advertising, including Meta Pixel): your consent through the cookie notice (Article 6(1)(a) GDPR and Law No. 41/2004).
  • Managing requests, complaints and the exercise of rights, and keeping the website secure: legitimate interest (Article 6(1)(f)).
  • Complying with legal obligations and responding to authorities: legal obligation (Article 6(1)(c)).

We do not make decisions based solely on automated processing, including profiling, that produce legal effects concerning you or similarly significantly affect you.

4. Who we share your data with

Quote requests are forwarded to and handled together with specialist operators, who are responsible for bookings. Your data may be shared with:

  • Travel and tourism partners (for example, travel agencies and tour operators), to the extent needed to prepare the quote and, if you go ahead, make the booking. These partners process the data as independent controllers and apply their own privacy policies, which will be made available to you where applicable. [Identify the partner(s), if possible.]
  • Service providers (processors) who support us, such as website hosting, email, CRM, and analytics and advertising tools. They act only on our instructions and under a contract in accordance with Article 28 GDPR.
  • Public authorities, where required by law.

We do not sell your personal data.

5. International transfers

Some providers or partners may be located outside the European Economic Area. In those cases, the transfer is based on an adequacy decision of the European Commission (including the EU-U.S. Data Privacy Framework, where applicable), on standard contractual clauses approved by the Commission or, where the trip requires it, on the transfer being necessary to prepare or perform the service you requested (Article 49(1)(b) GDPR). You can ask us for more information about the safeguards applied.

6. How long we keep your data

  • Quote requests with no follow-up: up to [24 months] after the last contact;
  • Requests that result in a booking: for as long as needed to provide the service and for the applicable legal periods, namely tax and accounting periods;
  • Marketing communications: until you withdraw your consent;
  • Cookies: for the periods stated in the cookie notice.

Once these periods end, the data is deleted or anonymised.

7. Your rights

Under the GDPR, you have the right to:

  • access your personal data;
  • ask for inaccurate or incomplete data to be corrected;
  • ask for your data to be erased;
  • ask for processing to be restricted;
  • receive the data you gave us in a structured format (portability);
  • object to processing based on legitimate interest and, at any time, to receiving marketing communications;
  • withdraw your consent at any time, without affecting the lawfulness of processing carried out before then.

To exercise any of these rights, send a request to info@docsportugalpt.com. We will reply within one month, which may be extended under Article 12 GDPR. We may ask for additional information to confirm your identity.

You also have the right to lodge a complaint with the supervisory authority, the Comissão Nacional de Proteção de Dados (CNPD): Av. D. Carlos I, 134, 1.º, 1200-651 Lisboa, Portugal · tel. +351 21 392 84 00 · geral@cnpd.pt · www.cnpd.pt.

8. Security

We apply appropriate technical and organisational measures to protect your data against unauthorised access, loss or disclosure, including encrypted communications (HTTPS), access controls and careful selection of providers. No system is completely free of risk. If a data breach affecting you occurs, we will act in accordance with Articles 33 and 34 GDPR.

9. Cookies and similar technologies

We use cookies that are strictly necessary for the website to work, which do not require consent. Analytics and advertising cookies, such as Meta Pixel, are only activated if you allow them in the cookie notice. You can change or withdraw your consent at any time through [link “Cookie preferences”] or your browser settings.

The campaign parameters (UTM) in the page address are stored with your request so we know which channel brought you to us.

10. Changes to this policy
